At Bilsmidigt AB, we make it as easy to buy or sell a car as ordering a meal kit online – with home delivery across Sweden and a 14-day return policy. We are growing rapidly and are now building the next level of structure in our logistics flow.

We are looking for a Logistics Leader/Operations Coordinator who will take ownership of planning, follow-up, and customer bookings – ensuring that cars move forward in the right order without anything falling through the cracks.

The position is full-time and based at our logistics center in Upplands Väsby.

About the role

This is a “control tower” role: you create an overview, prioritize, drive follow-up, and ensure that the right things happen at the right time. You will work closely with our logistics team (workshop/purchasing/transport) and our drivers.

You will come in to build a structure that allows everyone else to keep up and do things right.

Responsibilities

Planning & prioritization

• Own and drive weekly/daily plans for the vehicle flow (what needs to be completed when and why)
• Prioritize cars in active flow and ensure that nothing gets stuck due to missed follow-up
• Create clear “next steps” per car and follow up until completed

Customer booking & communication

• Book daily deliveries and be the main responsible for proactive feedback to our customers when timelines change
• Ensure safe, professional communication and clear update times (“next update by …”)
• Maintain delivery expectations and minimize dissatisfaction
• Create automations for internal/external dialogue

Coordination & follow-up

• Coordinate with internal resources, drivers, and external partners (e.g., inspection/workshop/wash as needed)
• Ensure that the delivery process follows our protocols and quality assurance before delivery
• Identify bottlenecks and implement improvements in work methods and routines
• Problem and conflict resolver who takes ownership of any complaints/issues

Quality before delivery

• Ensure that delivery checklists are followed and that the car is ready for delivery
• Drive to ensure that “small mistakes” do not reach the customer (detail focus and control points)

We are looking for someone who

• Is extremely structured and enjoys checklists, clear statuses, and follow-ups
• Has experience in logistics/coordinating/operations (does not have to be in car sales – but high volume and many parallel cases)
• Is used to communicating in writing and verbally with customers/partners in a calm and professional manner
• Has a high drive, takes ownership, and thrives in a fast-paced environment
• Is solution-oriented: you see obstacles early and create a plan

Requirements

• Driver's license B (manual and automatic are advantageous)
• Good Swedish in speech and writing
• Familiarity with digital tools (Excel/Google Workspace/Airtable or similar)
• Clear criminal record (a background check may be requested)
• Access to your own car (the logistics center is located away from public transport)

Meritorious

• Experience from the automotive industry (workshop, car sales, fleet, transport planning)
• Experience with vehicle flows, spare parts, or coordination with workshops
• Experience in building processes that reduce errors and shorten lead times
